Requirements Policy
Policy Overview:
At The Print Men, we are dedicated to providing exceptional design and print services to our clients. To streamline the design process, maintain quality, and uphold efficiency, this policy outlines the importance of clients supplying their own images and copy/text when initiating design projects.
Rationale:
-
Quality Control: Providing high-quality, professional images and well-prepared copy/text ensures that the final design output meets or exceeds industry standards. Client-supplied content allows us to maintain control over image resolution, quality, and text accuracy.
-
Copyright Compliance: It is crucial that clients supply images and text for which they hold the necessary copyright permissions or licenses. This ensures that we create designs that are legally compliant and free from copyright infringement.
Client Responsibility:
-
Image Submission: Clients are responsible for supplying any images, photographs, illustrations, or graphics required for their design projects. These images should be provided in high-resolution digital formats (e.g., JPEG, PNG, TIFF) and should meet the following criteria:
- Resolution: A minimum of 300 DPI (dots per inch) for print projects.
- Copyright Compliance: Clients must ensure that they have the legal rights to use the supplied images and that they are not subject to third-party copyright restrictions.
- Quality: Images should be clear, free from watermarks, and of sufficient quality for the intended purpose.
-
Copy/Text Submission: Clients are also responsible for supplying the copy/text content for their design projects. This includes any text, headlines, body copy, and other written content. Clients should ensure the following:
- Accuracy: All text content should be accurate, proofread, and free from spelling and grammatical errors.
- Copyright Compliance: Clients must confirm that they hold the necessary rights to use the supplied text and that it does not infringe on third-party copyrights.
- Clarity and Format: The text should be supplied in an organized and clearly structured format, such as a Word document or text file.
Benefits of Client-Supplied Content: By adhering to this policy and providing their own images and copy/text, clients can expect the following benefits:
- Faster Turnaround Times: Providing content upfront accelerates the design process and ensures timely project completion.
- Control and Customization: Clients can maintain control over the visual and textual elements of their design, ensuring that it aligns with their brand and messaging.
- Legal Compliance: Clients can be confident that their designs adhere to copyright and legal standards, reducing the risk of legal issues.
Exception Handling: In rare cases where clients are unable to provide their own images or text, The Print Men can offer assistance in sourcing stock images or recommending professional copywriting services. Additional fees may apply for such services, and clients will be informed of any associated costs.
Conclusion: This policy is designed to promote collaboration and efficiency in the design process at The Print Men. We appreciate our clients’ cooperation in providing high-quality, copyright-compliant content for their projects. By working together, we can create outstanding design solutions that meet clients’ expectations and deadlines while ensuring legal compliance and maintaining quality standards.
Revisions Policy
At The Print Men, we are committed to delivering high-quality design and print services that meet our clients’ expectations while ensuring a smooth and efficient design process. To maintain clarity and transparency throughout the design process, this policy outlines the number of design revisions allowed and defines what constitutes a major change versus a minor change.
Design Revision Allowance:
Minor Changes: We understand that clients may have specific preferences and may want to refine certain aspects of their product design. Therefore, clients are entitled to make up to three (3) rounds of minor changes during the design process without incurring additional charges.
Major Changes: In the interest of maintaining efficiency and cost-effectiveness, clients are allowed one (1) round of major changes during the design process. Major changes involve significant alterations to the overall layout, concept, or design direction of the product. These changes may include but are not limited to:
- Complete redesign of the product’s concept.
- Change in the primary colour scheme.
- Modification of the headline or primary messaging.
- Substantial alterations to the visual elements and graphics.
- Introduction of new design elements that significantly impact the overall composition.
Definition of Minor Changes:
Minor changes are defined as adjustments and refinements that do not alter the fundamental design concept or require a significant amount of additional design work. These changes typically involve fine-tuning details such as:
- Text edits (spelling, grammar, minor copy revisions).
- Font size or style adjustments.
- Color adjustments within the existing colour scheme.
- Resizing or repositioning of existing elements without altering their fundamental appearance.
- Minor changes to image or graphic placement.
Procedure for Requesting Revisions: Clients should follow this procedure when requesting revisions:
Initial Design Review: After receiving the initial product design, clients should thoroughly review it and compile a comprehensive list of desired changes.
Minor Change Requests: Clients may submit their list of minor changes to their designated project designer. These will then be implemented promptly, and clients may request up to three (3) rounds of minor changes.
Major Change Requests: If a client identifies the need for a major change, they should discuss this with their project manager. A call/meeting may be scheduled to assess the proposed changes and ensure they align with the project’s goals and timeline. Once approved, one (1) round of major changes will be accommodated.
Additional Revisions:
Any design revisions beyond the allowances specified in this policy may incur additional charges. These charges will be communicated to the client before any additional work is carried out.
Client Responsibility:
Clients are encouraged to provide clear and comprehensive feedback during the initial design review to minimize the need for revisions. Effective communication and collaboration between the client and our designers are crucial to achieving the desired design outcome within the specified timeline.
Conclusion:
This policy is designed to ensure that the design and print process at The Print Men is efficient, collaborative, and transparent. By adhering to these guidelines, we aim to deliver exceptional design solutions while managing project timelines and costs effectively. We value our clients’ satisfaction and look forward to assisting them in achieving their design goals.
